A NinjaTrack call-tracking number provides a mechanism for you to record the leads generated by your advertising campaigns so that you can prove your value to your clients and increase client retention. This article guides you through the basic setup of a NinjaTrack phone number. Below, you will find a step-by-step guide on everything that you will need to do in order to set up your first tracking number.
1. Go to the Account Command Center of the desired Account
2. Click the "Plus-sign" near the top right of the NinjaTrack Card
3. Fill in all the necessary fields under the Enter Account Info tab, then click the "Next" button
- Select Country (required) - the country of the business and phone number you are setting up
- Destination Number (required) - the number that calls this NinjaTrack number will be forwarded to
- Ext - the extension under the destination number (if applicable) that calls this NinjaTrack number will be directed to
- Select Account (required) - the NinjaCat account call information for this NinjaTrack number will be tied. This field is not editable when adding a NinjaTrack number from the Account Command Center.
4. Select the desired source tracking options under the Select Source tab, then click the "Next" button
- Type of Source
- Dynamic Pool - a set of multiple call tracking numbers will be assigned to each selected source. The call tracking number used will rotate through the numbers contained in the Dynamic Pool with each new visitor from that source (Check out our article on Dynamic Number Pools for more info)
- Single Number Per Source - one call tracking number will be assigned to each selected source. The call tracking number used will be the same for every visitor from that source
- Sources - the website traffic sources you would like to purchase call tracking numbers for
- Search - website visitors arriving from a search engine (Google, Bing, Yahoo)
- Facebook - website visitors arriving from Facebook
- YouTube - website visitors arriving from YouTube
- Linked Page - website visitors arriving from a specific referral link
- Site URL - the URL for the website that will be referring visitors
- Direct - website visitors who typed in the URL directly (no referral)
- Offline - callers who found the number offline (newspaper, print ads, etc.)
- Ad Extensions - callers who found the number from an Ad Extension in Google Ads
- Specific Page - website visitors who use a specific URL (i.e. an alias for the same page)
- Site URL - the URL alias that visitors will be using
- Custom Params - website visitors where the URL has a specific parameter
- Custom URL Parameters - the specific parameters that will be included in the URL
NinjaNote: For source/session or keyword-level tracking, select a dynamic pool of numbers. In most other cases, use the single number per source option
5. If you are buying a dynamic pool of numbers, set the number of Dynamic Numbers you wish to assign to each selected source (skip this step when using a Single Number Per Source)
NinjaNote: one way to determine the number of Dynamic Numbers to use is: "Peak Hourly Session Traffic divided by Four." If the traffic is not known, a small pool size of 2-3 numbers is recommended as a starting point. Additional numbers can be added to the pool as needed.
6. Select the desired tracking numbers for each source under the Select Tracking Numbers tab, then click the "Next" button
7. Select the desired features to be enabled for the tracking numbers under the Select Features tab, then click the "Activate Number" button
- Enable Call Recording (toggle)
- "On" (checked box) - all calls to the tracking numbers will be recorded. Call recordings can be accessed under the Monitoring section of NinjaCat and can be included in your reports and dashboards
- "Off" (unchecked box) - call recording is off for the tracking numbers
- Play a Greeting to the Caller (toggle)
- "On" (checked box) - an introduction will play on the call before dialing out to the destination number. The options for specifying a greeting are:
- Use Recording - upload a recorded greeting in MP3 or WAV format or,
- Use Text to Speech - type the desired greeting in the provided field
- "Off" (unchecked box) - calls to the tracking numbers will dial directly to the destination number
- "On" (checked box) - an introduction will play on the call before dialing out to the destination number. The options for specifying a greeting are:
- Enable SMS Notifications (toggle)
- "On" (checked box) - an SMS notification will be sent in real-time to the provided number at the completion of every call to a tracking number
- "Off" (unchecked box) - SMS notification is turned off
- Enable Email Notification (toggle)
- "On" (checked box) - an email notification will be sent at the completion of every call to a tracking number. The email will be sent to the address specified in the account's call tracking settings
- "Off" (unchecked box) - Email notification is turned off
- Enable Analytics Event Tracking (toggle)
- "On" (checked box) - NinjaTrack will send events in real-time to the primary Google Analytics account added as a data source for the Account associated with the call tracking numbers
- "Off" (unchecked box) - Google Analytics Event Tracking is turned off
- Enable Adwords Conversion Tracking (toggle)
- "On" (checked box) - NinjaTrack will create a conversion type in the primary Google Ads account added as a data source for the Account associated with the call tracking numbers. You can specify the desired Conversion Action name in the field provided
- "Off" (unchecked box) - Google Ads Conversion Tracking is turned off
8. Add the NinjaTrack DNI script to all the website and landing pages of the associated Account
NinjaNote: The recommended placement of the DNI script tag is within the body of the HTML pages, immediately before the closing </body> tag
