Creating and Customizing User Roles

Some of the users at your Agency may only need access to just one, or a few, specific features of NinjaCat. To ensure that people only have the access you want in our platform NinjaCat allows you to create or customize User Roles containing specific sets of permissions. This article will walk you through creating and customizing a User Role, and how to add a User Role to a specific user.

NinjaNote: To access the options of NinjaCat shown in this article your account must have a User Role that includes the permission "Manage Users". To change your permissions, please contact a NinjaCat admin from your team.

Creating a New User Role

Below are the steps which you will need to follow to access and create a new user role from your Agency settings.

1. Go to the Setup Settings

2. Click on "Users" in the Setup sub-navigation bar

3. Click on the "Roles" tab under Users

4. From the Roles tab click the "Add Role" button near the top right of the window

5. Fill in all of the fields under Add Role

  • Name - the name of the role as it will display when creating or editing a User (this field is required)
  • Description - the help text which will be displayed on the right hand side of a User Role
  • All Permissions toggle switch
    • "On" (toggled right) - enables every available permission in NinjaCat ("Full Access") for this User Role
    • "Off" (toggled left) - makes the List of Available Permissions appear, from which you can enable the specific permissions you would like for this Role

5. Click the "Save Changes" button near the bottom left of the window

 

List of Available Permissions

Below is an explanation of the different Permissions toggles available when creating or editing a User Role without "All Permissions". Each of these options can be toggled individually to allow the specific access which you would like to enable. Multiple options can be enabled for a Role as needed.

The list of available permissions assumes that the user has access to at least one Advertiser Account. Thus, access across the board to the "Accounts” Top Navigation option and page as well as the "Accounts” option in the Sub-navigation bar.

  • Manage Accounts - Access to:
    • the "Account Groups" option in the "Accounts" Sub-navigation bar of the "Accounts" page
    • the ability to add a new Advertiser Account
    • the Account Command Center
    • the ability to refresh the data warehouse
    • the ability to access the Account Settings
    • the ability to configure account data source connections
  • View Account Dashboards - Access to:
    • the account Dashboards from the Account Selection page
  • View Agency Dashboards - Access to:
    • the Monitoring page from the Top Navigation menu
    • the "Budgets (Beta)" option in the "Monitoring" Sub-navigation bar of the Setup Settings page
    • the "KPIs (Beta)" option in the "Monitoring" Sub-navigation bar of the Setup Settings page
    • the "Accounts" option in the "Monitoring" Sub-navigation bar of the Setup Settings page
  • Manage Networks - Access to:
    • the Setup Settings from the Login menu
    • the "Data Sources" option in the Sub-navigation bar of the Setup Settings page
  • Manage Templates - Access to:
    • the Setup Settings from the Login menu
    • the Reporting page from the Top Navigation menu
    • the "library" option in the Sub-navigation bar of the Setup Settings page
    • the "templates" option in the "Reporting" Sub-navigation bar of the "Reporting" page
    • the "templates (Legacy)" option in the "Reporting" Sub-navigation bar of the "Reporting" page
    • the ability to open the Template Builder to edit the template referenced by this Report Profile(when the “Manage or View Reports” permissions are also activated) 
  • View Reports - Access to:
    • the Reporting page from the Top Navigation menu
    • the "Reports" option in the "Reporting" Sub-navigation bar of the "Reporting" page
    • the "Reports (Legacy)" option in the "Reporting" Sub-navigation bar of the "Reporting" page
    • the Account Command Center
    • the ability to refresh the data warehouse
    • the ability to view and edit Report Settings
    • the ability to view the report history of a Report Profile
    • the ability to annotate Reports
    • the ability to open the Template Builder to edit the template referenced by this Report Profile(this ability is only visible if the “Manage Templates” permission is also active)
  • Manage Reports - Access to:
    • the Reporting page from the Top Navigation menu
    • the "Reports" option in the "Reporting" Sub-navigation bar of the "Reporting" page
    • the "Dashboards" option in the "Reporting" Sub-navigation bar of the "Reporting" page
    • the "Reports (Legacy)" option in the "Reporting" Sub-navigation bar of the "Reporting" page
    • the Account Command Center
    • the ability to refresh the data warehouse
    • the ability to view and edit Report Settings
    • the ability to re-run Reports that previously had errors
    • the ability to create a new Report Profile
    • the ability to export a list of Reports and their details
    • the ability to delete Report Profile
    • the ability to edit already created Report Profile
    • the ability to view the report history of a Report Profile
    • the ability to annotate Reports
    • the ability to impromptu run Reports
    • the ability to create new Legacy Reports
    • the ability to edit and configure Legacy Reports
    • the ability to open the Template Builder to edit the template referenced by this Report Profile(this ability is only visible if the “Manage Templates” permission is also active)
  • Access KPIs - Access to:
    • the Setup Settings from the Login menu
    • the Monitoring page from the Top Navigation menu
    • the "Groups" option in the Sub-navigation bar of the Setup Settings page
    • the "KPIs" option in the "Monitoring" Sub-navigation bar of the Setup Settings page
    • the Account Command Center
    • the ability to refresh the data warehouse
    • the ability to view and edit metric-based goals
  • Manage Agency Settings - Access to:
    • the Setup Settings from the Login menu
    • the "Agency Settings" option in the Sub-navigation bar of the Setup Settings page
    • the "Billing" option in the Sub-navigation bar of the Setup Settings page
  • Manage Users - Access to:
    • the Setup Settings from the Login menu
    • the "Users" option in the Sub-navigation bar of the Setup Settings page
  • Contact NinjaCat - Access to:
    • the NinjaCat Support web page from the Top Navigation menu
  • Can Export Accounts - Access to:
    • the ability to export a CSV file containing the details of every Advertiser Account
  • Manage NinjaTrack - Access to:
    • the Setup Settings from the Login menu
    • the Monitoring page from the Top Navigation menu
    • the "NinjaTrack" option in the Sub-navigation bar of the Setup Settings page
    • the "NinjaTrack" option in the "Monitoring" Sub-navigation bar of the Setup Settings page

  • Upgrade Agency - Upgrade Agency payment options
  • Manage Change History - Access to:

Adding a User Role to a NinjaCat User

Below are the steps which you will need to add or change the User Role options for a User account in NinjaCat.

1. Go to the Setup Settings

2. Click on "Users" from the Setup sub-navigation bar

3. Click on the desired user from the Users list

4. From the Roles section of the User options, toggle the desired Role for the user "on" (toggled right) or "off" (toggled left)

5. Click the "Save Changes" button near the bottom left of the window
